Connecting Microsoft 365 to BeaconVisit
Help for BeaconVisit users and Microsoft 365 administrators when connecting their Outlook calendar to BeaconVisit.
Microsoft organisations can manage application approval in different ways. The message Microsoft shows you determines what happens next.
About BeaconVisit
BeaconVisit is a mobile safety service for professionals visiting clients alone.
When you connect Microsoft 365, BeaconVisit uses delegated Microsoft permissions to read the calendar information needed to support appointment identification, reminders, check-in and check-out.
What Microsoft access BeaconVisit requests
BeaconVisit uses delegated Microsoft permissions.
Delegated permissions allow BeaconVisit to access the Microsoft calendar of the person who has signed in and connected their account.
BeaconVisit only requests the permissions needed for sign-in and its calendar features.
Calendars.ReadBasicallows BeaconVisit to read basic calendar details (such as subject, time, location and attendees) for the signed-in user.
Configured permissions: openid, profile, offline_access, User.Read, Calendars.ReadBasic
For more information about the calendar information BeaconVisit uses, how it is processed and how long it is retained, see How BeaconVisit uses your data.
Need admin approval
Your organisation does not currently allow your Microsoft account to approve BeaconVisit by itself.
This is controlled by your organisation's Microsoft 365 settings. Nothing is wrong with your BeaconVisit account.
If Microsoft shows “Have an admin account?”, an authorised Microsoft 365 administrator can use that option to review the permissions requested by BeaconVisit and grant permission for your organisation.
If permission is granted using the same browser or device that the BeaconVisit user will use, make sure the Microsoft administrator account is signed out before trying BeaconVisit again. Microsoft may otherwise reuse the administrator account during the next sign-in.
If the administrator is not currently with you, send them this page and ask them to use the Grant Microsoft 365 permission option below.
For Microsoft 365 administrators
Use the button below to open Microsoft's administrator consent screen for BeaconVisit. This opens in a new browser tab.
Approval required
Your organisation allows users to request access to applications, but a Microsoft 365 administrator or nominated reviewer must approve BeaconVisit before you can continue.
- Enter a short reason for requesting BeaconVisit if Microsoft asks for one.
- Select Request approval.
- Wait for your organisation to review the request. These requests are not always reviewed immediately, so contact your Microsoft 365 administrator or IT support team if you need the request to be picked up.
- Once approved, return to BeaconVisit.
- Connect your Microsoft account again.
For your Microsoft 365 administrator
If a BeaconVisit user has submitted an approval request:
- Sign in to the Microsoft Entra admin centre.
- Open Entra ID.
- Select Enterprise applications.
- Under Activity, select Admin consent requests.
- Open My Pending.
- Find the BeaconVisit request.
- Review the requesting user and the permissions requested.
- Select Review permissions and consent.
- Approve the request if it is appropriate for your organisation.
If the request is visible but you cannot approve it, ask the person or IT provider responsible for Microsoft 365 application permissions or Microsoft Entra to review it.
After Microsoft approval
Once Microsoft permission has been granted, return to BeaconVisit and connect again using the BeaconVisit user's own Microsoft account.
If permission was granted on the same browser or device, sign out of the administrator's Microsoft account first. This prevents Microsoft from automatically reusing the administrator account when BeaconVisit reconnects.
Advanced Microsoft 365 Q&A
Microsoft has approved BeaconVisit, but the user is still blocked. Why?
Some organisations restrict approved applications to specific users or groups. In Microsoft Entra, BeaconVisit may have Assignment required enabled. If it does, administrator consent alone is not enough. The BeaconVisit user must also be assigned to the application, either directly or through a group.
An administrator can check this under:
Entra ID → Enterprise applications → BeaconVisit → Properties
If Assignment required? is set to Yes, add the appropriate user or group under Users and groups.
Other organisation security policies, including Conditional Access, can also prevent sign-in after application consent has been granted. If the user is assigned correctly but remains blocked, ask the Microsoft 365 administrator or IT provider to review the sign-in policy applied to that user.
Can BeaconVisit be approved for the whole organisation?
An administrator can grant tenant-wide consent using Grant Microsoft 365 permission on this page, or through your organisation's Microsoft approval workflow. Users still sign in with their own Microsoft accounts. Some organisations also require user or group assignment before individuals can connect.
For centrally managed rollout, contact BeaconVisit or request a company quote.
How do we revoke BeaconVisit access?
Microsoft 365 administrators can revoke BeaconVisit in the Entra admin centre, for example by removing admin consent or deleting assignments.
See the Privacy Policy and Terms & Conditions.
How often does BeaconVisit access Microsoft Graph?
BeaconVisit does not continuously read a user's Microsoft calendar.
For a connected Microsoft account, BeaconVisit refreshes calendar information during its overnight appointment processing (scheduled in each user's local time zone) and when the user requests an on-demand refresh.
The purpose is to keep future appointment information aligned with the user's Microsoft calendar and to prepare the appointments needed for BeaconVisit reminders and check-in support.
Is BeaconVisit a Microsoft verified publisher?
BeaconVisit is currently working towards Microsoft verified publisher status.
Publisher verification is an additional Microsoft trust signal. It does not change the permissions BeaconVisit requests or override your organisation's Microsoft 365 approval policies.
